Terms of Service

1. Introduction and Acceptance

Welcome to CoachHQ. These Terms of Service ("Terms") govern your access to and use of the CoachHQ platform, including our website, mobile applications, and services (collectively, the "Service"). By accessing or using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use the Service.

CoachHQ is operated by Sports Coach HQ Ltd, a company registered in England and Wales. These Terms constitute a legally binding agreement between you and Sports Coach HQ Ltd.

2. Definitions

• "Coach" means individuals who subscribe to access coaching content on the platform — including school PE teachers, club coaches, academy coaches and individual mentors.
• "Producer" means experts and former athletes who create and upload coaching content to the platform.
• "Content" means all coaching videos, lesson plans, digital checklists and resources available on the platform across cricket, hockey, netball, football, tennis, golf, basketball, rugby and any other sports we add over time.
• "Account" means your registered user account on the Service.
• "Personal Data" has the meaning set out in our Privacy Policy.

3. Eligibility and Age Requirements

CoachHQ is intended for use by adult coaches, educators and coaching organisations. If you are under 18 years old, you must have parental or guardian consent to use the Service, and your parent or guardian must agree to these Terms on your behalf.

Where coaches use CoachHQ to support sessions involving children or vulnerable adults, the coach (and their employer or club) remains responsible for safeguarding, supervision, consent, and compliance with applicable child protection regulations.

4. Account Registration and Security

To access certain features of the Service, you must create an Account. You agree to:

• Provide accurate, current, and complete information during registration
• Maintain and promptly update your Account information
• Maintain the security and confidentiality of your Account credentials
• Notify us immediately of any unauthorised use of your Account
• Accept responsibility for all activities that occur under your Account

You may not share your Account credentials with others or allow others to access your Account. We reserve the right to suspend or terminate Accounts that violate these Terms.

5. Acceptable Use Policy

You agree not to use the Service to:

• Violate any applicable laws, regulations, or third-party rights
• Transmit harmful, offensive, or inappropriate content
• Harass, threaten, or intimidate other users or Producers
• Impersonate any person or entity or misrepresent your affiliation with a club, school or organisation
• Interfere with or disrupt the Service or servers
• Attempt to gain unauthorised access to any part of the Service
• Use automated systems (bots, scrapers) to access the Service without permission
• Download, copy, or redistribute Content (videos, lesson plans, checklists) outside of permitted in-platform sharing features without authorisation
• Remove or modify copyright notices or other proprietary markings

We reserve the right to investigate and take appropriate action against anyone who violates this Acceptable Use Policy.

6. Intellectual Property Rights

Platform Ownership: The Service, including its design, features, and technology, is owned by Sports Coach HQ Ltd and protected by copyright, trademark, and other intellectual property laws.

Producer Content: All coaching videos, lesson plans, checklists and materials created by Producers remain the intellectual property of the respective Producer. By uploading Content to the platform, Producers grant CoachHQ a worldwide, non-exclusive, royalty-bearing licence to host, distribute, and display the Content for the purpose of operating the Service.

Coach Use: Coaches receive a limited, non-exclusive, non-transferable licence to access, view and use Content for the purposes of coaching their players, pupils or athletes. This includes saving favourites, sharing lesson plans and checklists with colleagues through built-in platform features, and handing out digital checklists to their players. You may not reproduce, redistribute, modify, or create derivative works from Content for resale or commercial republication without express written permission.

7. Coaching Activity and Safety Disclaimer

IMPORTANT: Please read this section carefully.

The coaching content provided on CoachHQ — including videos, drills, lesson plans and checklists — is for educational and informational purposes only. It is intended to support qualified coaches and coaching organisations, not to replace the judgement of a coach on the ground or professional medical, safeguarding or first-aid advice.

You acknowledge and agree that:

• You are responsible for assessing whether any drill, plan or session is appropriate for the age, ability and physical condition of the players in your care
• Sport and physical activity carry inherent risks of injury — coaches and participants take part at their own risk
• You are responsible for ensuring appropriate supervision, qualifications, insurance, safeguarding policies, risk assessments, and equipment standards for sessions you run
• Sessions should stop immediately if a participant experiences pain, dizziness, or discomfort
• Sports Coach HQ Ltd, its Producers and partners are not liable for any injuries, losses or incidents arising from the use of Content in the field

8. Content Disclaimer and Quality

While our Producers are experienced coaches, athletes and experts in their respective sports, we do not guarantee the accuracy, completeness, or effectiveness of any specific piece of Content. Different coaching methods may suit different players, age groups and contexts.

CoachHQ reviews content for quality but does not endorse or guarantee outcomes from any drill, lesson plan or programme. Player progress depends on numerous factors including coaching delivery, effort, consistency and individual circumstances.

9. Limitation of Liability

To the maximum extent permitted by law, Sports Coach HQ Ltd, its directors, employees, Producers and partners shall not be liable for:

• Any indirect, incidental, special, consequential, or punitive damages
• Any loss of profits, revenue, data, or goodwill
• Any personal injuries or incidents arising from coaching sessions delivered using the Service
• Any interruption or errors in the Service
• Any unauthorised access to or use of our servers or your personal information

Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

10. Termination

You may terminate your Account at any time by cancelling your subscription through your Account settings or contacting us at hello@coach-hq.com.

We may suspend or terminate your Account immediately without notice if:

• You violate these Terms or our Acceptable Use Policy
• We believe your actions may harm CoachHQ, other users, or Producers
• We are required to do so by law

Upon termination, your right to access the Service will cease immediately. We may delete your Account data in accordance with our Privacy Policy.

11. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles.

Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Before commencing legal proceedings, we encourage you to contact us at lydia@sportscoachhq.com to resolve any disputes informally.

12. Changes to These Terms

We reserve the right to modify these Terms at any time. When we make changes, we will:

• Update the "Last Updated" date at the bottom of this page
• Notify you via email or through a notice on the Service
• Provide you with 30 days' notice for material changes

Your continued use of the Service after any changes constitutes acceptance of the new Terms. If you do not agree to the modified Terms, you must stop using the Service and cancel your subscription.

13. General Provisions

Entire Agreement: These Terms, together with our Privacy Policy, constitute the entire agreement between you and Sports Coach HQ Ltd regarding the Service.

Severability: If any provision of these Terms is found to be unenforceable, the remaining provisions will remain in full effect.

Waiver: Our failure to enforce any right or provision of these Terms will not constitute a waiver of such right or provision.

Assignment: You may not assign or transfer these Terms or your Account without our prior written consent. We may assign these Terms without restriction.
