Coach End User License Agreement

The licence terms every coach accepts before accessing CoachHQ.

Effective Date: 27 April 2026 · Version 1.0.0

Please read this Agreement in full. By ticking "I agree" at sign-in, or by accessing any coaching content on CoachHQ, you confirm that you have read, understood and accepted this End User License Agreement ("EULA") on behalf of yourself and any club, school or organisation you represent.

1. Parties and Scope

This EULA is entered into between Sports Coach HQ Ltd, a company registered in England and Wales (trading as "CoachHQ", "we", "us"), and the individual coach accepting this Agreement ("Coach", "you").

It governs your use of the CoachHQ Coaches Platform — our website, mobile applications, dashboards and any coaching videos, drills, lesson plans, digital checklists, templates and other resources made available to you (collectively, the "Platform" and "Content"). It applies in addition to our Terms of Service and Privacy Policy.

2. Eligibility

To accept this EULA you confirm that you:

  • Are at least 18 years old;
  • Are an active coach, PE teacher, club coach, academy coach or coaching professional, or are training to become one;
  • Hold (or are working under the supervision of someone who holds) any qualifications, DBS / safeguarding clearances and insurance required for the sessions you deliver in your jurisdiction;
  • Have authority to bind any club, school or organisation on whose behalf you are signing up.

3. Licence Grant

Subject to your continued compliance with this EULA, CoachHQ grants you a limited, personal, non-exclusive, non-transferable, non-sublicensable, revocable licence to:

  • Access and stream coaching videos, drills and sessions on the Platform across cricket, hockey, netball, football, tennis, golf, basketball, rugby and any sports we add over time;
  • Use lesson plans, session templates and digital checklists to plan and deliver your own coaching sessions;
  • Hand out or display digital checklists and player-facing resources to the players, pupils or athletes in your direct care, using the in-platform sharing features;
  • Save favourites, build session libraries and use any collaboration features made available to you.

This licence exists only for as long as your account is in good standing and your subscription (if any) is active.

4. Restrictions

You must not, and must not allow anyone else to:

  • Share your account credentials, or allow another coach, colleague or organisation to use your account;
  • Download, screen-record, copy, mirror, scrape or otherwise capture Content outside of features CoachHQ explicitly provides for that purpose;
  • Re-upload, re-publish, re-broadcast, sell, sub-licence or redistribute Content on YouTube, social media, internal learning platforms or any other channel;
  • Use Content to build, train or improve any competing product, dataset or AI model;
  • Remove, obscure or alter any branding, attributions, watermarks, copyright notices or producer credits;
  • Reverse engineer, decompile or attempt to extract source code from the Platform;
  • Use the Platform in a way that breaches any law, third-party right, or any safeguarding, child-protection or governing body regulation that applies to you.

5. Intellectual Property

All Content on the Platform — including videos, drills, lesson plans, checklists, written resources, branding and software — is owned by Sports Coach HQ Ltd or by the Producers (expert coaches and former athletes) who created it, and is protected by copyright and other intellectual property laws. Nothing in this EULA transfers ownership of any Content or Platform IP to you.

Anything you create using the Platform's planning tools (such as your own session plans built from our templates) remains yours to use in your coaching practice, subject to any third-party rights in the underlying templates or media.

6. Safeguarding and On-Field Responsibility

You remain the responsible adult on the field.

CoachHQ provides educational content to support qualified coaches. It does not replace your judgement, your qualifications, your safeguarding obligations or any governing-body requirements. By accepting this EULA you acknowledge that:

  • You are solely responsible for assessing the suitability of any drill, plan or session for the age, ability, fitness and medical condition of the players in your care;
  • You are responsible for supervision, risk assessments, warm-ups, equipment safety, first-aid provision and the overall safe delivery of every session you run;
  • You will follow your club, school or governing body's safeguarding and child-protection policies at all times, including when sharing checklists or resources with players and parents;
  • You will stop any activity immediately if a participant experiences pain, dizziness or distress;
  • You will not represent CoachHQ, its Producers or partners as the source of bespoke medical, physiotherapy or safeguarding advice for individual players.

7. Professional Conduct

As a Coach using CoachHQ, you agree to uphold a high standard of professional conduct, including:

  • Treating players, parents, fellow coaches and Producers with respect and without discrimination;
  • Maintaining appropriate boundaries with players and their families both in person and online;
  • Reporting safeguarding concerns through the proper channels in your club, school or governing body;
  • Representing your qualifications, experience and affiliations honestly on the Platform.

8. Account, Data and Communications

You are responsible for keeping your login credentials secure and for all activity that takes place under your account. We will handle your personal data in accordance with our Privacy Policy.

You agree that we may contact you with operational messages about the Platform (such as new EULA versions, security notices, safeguarding updates and material changes to Content) at the email address linked to your account.

9. Updates to the Platform and to this EULA

We continuously improve the Platform — adding new sports, Producers, drills and features. We may update, modify or remove parts of the Platform or Content at any time.

We may also issue new versions of this EULA. When a new version is released, you will be asked to review and accept it the next time you sign in. If you do not accept the new version, your access to the Platform may be suspended until you do.

10. Suspension and Termination

We may suspend or terminate your licence and access to the Platform immediately, without refund, if we reasonably believe that you have:

  • Breached this EULA, our Terms of Service or any applicable law;
  • Misused, redistributed or attempted to extract Content from the Platform;
  • Acted in a way that creates a safeguarding or reputational risk to CoachHQ, its Producers, or other coaches and players using the Platform.

You may terminate this EULA at any time by closing your account or cancelling your subscription. Sections covering intellectual property, safeguarding responsibility, liability, and governing law survive termination.

11. Disclaimers and Limitation of Liability

The Platform and Content are provided on an "as is" and "as available" basis. To the maximum extent permitted by law, Sports Coach HQ Ltd, its Producers, employees and partners shall not be liable for:

  • Any injuries, accidents or incidents arising from coaching sessions you deliver using the Platform or Content;
  • Any indirect, incidental, special, consequential or punitive damages, or loss of profits, revenue, data or goodwill;
  • Any unauthorised access to your account caused by your failure to keep your credentials secure;
  • Any interruption, delay or error in the Platform or Content.

Nothing in this EULA limits or excludes liability for death or personal injury caused by negligence, for fraud, or for any other liability that cannot be excluded under English law.

12. Governing Law

This EULA is governed by the laws of England and Wales. Any disputes arising out of or in connection with this EULA shall be subject to the exclusive jurisdiction of the courts of England and Wales. Before commencing any formal proceedings, please contact us at lydia@sportscoachhq.com so we can try to resolve the matter informally.
